I've always been organized with my tax documents, but I never had an actual system. Every year, I'd gather everything, try to remember what I did last time, and hope I wasn't making it harder than it needed to be.
This year, I asked ChatGPT to create a summary template for my accountant. Here's the prompt:
I need to organize my tax documents for my accountant. Here's my situation:
Employment: [W2 employee / self-employed / both]
Business type: [LLC / sole prop / S-corp / etc. — or delete if not applicable]
Income sources: [Salary, consulting, side business, investments, rental income, etc.]
State: [Your state]
I have all my documents, but I want to present them in a clean, organized way.
Create a summary template I can fill out that includes:
A cover sheet listing all documents I'm providing
Income summary section (by source)
Business expense categories for my type of work (if applicable)
Any other sections that would be helpful
Simple formatting I can recreate in Google Docs or Excel
Make it professional but not overly complicated - something I can realistically fill out in 30 minutes and reuse every year.
What I got: A clean template I recreated in Google Sheets in 5 minutes. Filled it out in 30 minutes. Now I have this for next year — and every year after that.
The difference between being organized and having a system is that a system means you don't have to think about it next year.
Keep going? Once you've got your template, try asking:
"What documents am I most likely forgetting based on my situation?"
"What deductions might I be missing for my type of work?"
"What questions should I ask my accountant before filing?"
Then save your template somewhere you'll actually find it next January.
